JOB SUMMARY
The Council for Professional Recognition promotes improved performance and recognition of professionals in the early childhood education of children from birth to age 5. The Council works to ensure that educators and caregivers meet the developmental, emotional, and educational needs of our nation’s youngest children. Through resources, training, and advocacy, the Council elevates the standards of early childhood education and helps ensure every child receives the highest quality of care and education.
The Senior Administrative Manager optimizes the administrative functions of the Chief Administrative Office (CAO) unit, providing support to the CAO and other departments within the unit. This senior-level administrative role focuses on improving organizational efficiency, developing policies and procedures, and ensuring smooth daily operations. The Senior Manager provides high-level administrative and organizational support for the CAO, encompassing complex calendar management, travel arrangements, correspondence, meeting coordination, and report preparation with a focus on confidentiality and working independently.
KEY RESPONSIBILITIES
ADMINISTRATIVE SUPPORT
• Manage calendar — proactively manage complex schedules for the CAO
• Arrange detailed domestic and international travel itineraries
• Coordinate meetings, including preparing agendas, taking minutes, arranging logistics, tracking action items, and follow up on commitments
• Manage high volume sensitive and confidential correspondence
• Conduct research, prepare reports, and manage documents
• Serve as the primary point of contact for the CAO, screening calls and visitors
• Assist with project management tasks and ensure deadlines are met
• Create PowerPoint Presentations
OPERATIONAL OVERSIGHT
• Direct and coordinate daily office operations
• Develop, implement, and review administrative systems, policies, and procedures to enhance operational efficiency and improve administrative workflows
• Oversee facility management, including managing equipment, supplies, and office space.
• Serve as a key point of contact for internal staff, external stakeholders, vendors, and suppliers
• Collaborate with internal stakeholders to ensure workplace environments support productivity and employee well-being
• Coordinate and monitor progress on key administrative projects and programs
• Ensure timely execution of deliverables across departments reporting to the CAO
• Manage internal communications and ensure alignment of messaging across administrative functions
FINANCIAL ADMINISTRATION
• Manage and monitor the administrative department’s budget providing monthly reports
• Oversee procurement processes and negotiate vendor contracts
• Manage expense reporting
STRATEGIC SUPPORT AND COORDINATION
• Collaborate with the CAO to develop and implement strategic priorities and initiatives
• Prepare executive-level presentations, reports, and briefings
• Coordinate meetings, travel, and support event planning for the CAO
• Ensure compliance with regulations and policies
KEY CHARACTERISTICS & QUALIFICATIONS
Education: Bachelor’s degree in a relevant field such as business administration; master’s degree preferred
Experience: Minimum of five – seven+ years of experience in operations management, executive-level administration; supervisory experience a plus

PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met to successfully perform the essential functions of this position. This role requires regular use of a computer; the ability to remain stationary for extended periods; frequent verbal and written communication with staff and stakeholders; and the ability to move within the office, retrieve materials, and occasionally lift or move objects up to twenty-five pounds.
SALARY
The salary range is $115,000 to $120,000. This position is budgeted not to exceed $120,000.
